Someone has to own the technical layer of an online or hybrid event. When nobody does, it shows within the first ten minutes.

Most online events do not fall apart because of the platform. They fall apart because nobody owned the tech. A speaker joins on a laptop that has not been tested. A deck arrives in the wrong aspect ratio ten minutes before the session. A video embedded in slide fourteen refuses to play. The chair is trying to moderate questions and advance slides at the same time. None of it is dramatic; all of it is visible.

We take that entire layer off your hands. Every presenter is onboarded and tested before the day. Decks are collected, checked and version-controlled ahead of time. The programme is rehearsed on the real platform with the real files. On the day a producer drives the show — advancing slides, cutting between speakers, rolling pre-recorded segments and holding the run of show — while questions and polls are moderated in parallel.

This works two ways: as a direct booking for organisations running their own events, and as the technical partner behind an event agency, operating white-label under your brand. Event planners own the client and the programme; we own the technical layer that makes it run.

Backup feeds for remote speakers, a local recording running throughout independent of the stream, and pre-recorded fallback versions for high-risk presenters from the Virtual Conference package up. If a connection drops, the deck keeps running from our system and the producer covers the gap.

Making the
content land

Getting a signal to an audience is the easy part. Making sure the argument actually arrives is the job.

A stream can be technically flawless and still fail. The slide the audience needed to read was on screen for four seconds. The chart that carried the whole argument was unreadable on a phone. The camera stayed on a presenter while the detail they were describing sat unseen. Our job is not to deliver a feed — it is to make sure the content reaches the people it was written for.

First: whatever arrives, we make it run

Presentations do not arrive tidily. A deck turns up ten minutes before the session. It was built in 4:3 and the frame is 16:9. A font that lived on the presenter’s laptop renders as something else on ours. The video embedded on slide fourteen plays silently, or not at all. Somebody sends version three when version four was the one that was approved.

A large part of what we actually do is absorb all of that without it becoming the audience’s problem. Late decks get taken and made to work. Aspect ratios get corrected rather than stretched. Missing fonts get substituted and checked. Broken media gets re-encoded. Nobody in the room finds out any of it happened.

Then: we direct how it lands

Once the material works, the question becomes what the audience sees at each moment. A dense chart needs to be held on screen longer than the speaker spends on it, and sized so it reads on a phone. A title card is not worth cutting to at all. A speaker making an argument with their hands is worth staying on. A remote presenter needs framing that keeps the room with them rather than reminding everyone they are elsewhere.

Those are editorial calls, made live, by someone watching the content rather than the equipment. It is the difference between a recording of an event and an audience that followed it.

The planned-ahead half of this has a name in the industry: presentation management. Presentation management ensures that we have all the presentations received and in working order — following up on them, making sure they are in the right format, and ensuring that the conference speakers are as comfortable as possible when delivering their presentations.

We do all of that, and it matters. But it is the beginning of the job rather than the whole of it, and the part nobody schedules — adapting on the day to whatever actually turns up — is usually where the value is. A speaker who steps up knowing their deck will behave presents better. An audience that could read the slide understood the point. Both of those are the outcome we are actually selling.

What does hybrid event production actually include?

Hybrid event production is the technical layer that makes an event work for a room and an online audience at the same time. What is presentation management at a conference?

Can you run a hybrid event where some speakers are remote?

Yes — it is the most common form of hybrid event we produce. Remote speakers are onboarded and tested in advance for camera, microphone, lighting and bandwidth, then brought into the programme as a live feed the room sees on screen and the online audience sees in the stream.

Their slides run from our system rather than from their laptop, so a poor connection affects only their picture — never their presentation.

Which platform should we use for our virtual conference?

It depends on your audience and what the session has to do. Zoom Webinars suits large one-to-many sessions with structured Q&A. Teams Live Events suits internal corporate audiences already in the Microsoft environment. YouTube Live suits public events with unlimited audience and no registration barrier. Custom RTMP suits bespoke or third-party platforms.

How much does a professionally produced webinar cost in South Africa?

A fully managed single-session webinar with one to three speakers starts from R12,000, including speaker onboarding, rehearsal, live cueing and moderation. A multi-session virtual conference with full deck and speaker management starts from R22,000. Hybrid production combining in-room AV integration, camera work and IMAG with full online production starts from R30,000.

Can you work with our existing event management company?

Yes — we work as the technical partner behind event agencies as well as taking direct bookings. We can operate white-label under your brand, join client calls as part of your team, or stay entirely behind the scenes.

We do not approach your clients directly. You own the relationship, the programme and the client; we own the technical layer that makes it run.

Do you supply the AV, or work with the venue’s?

All three are available. Most often we integrate with the existing AV at the venue, taking audio and presentation feeds from the house system. We also work alongside a venue’s or client’s own AV supplier, complementing their setup rather than displacing it — the usual arrangement when an agency has already appointed one.

Where nothing suitable exists, we can supply the AV ourselves, quoted separately from the production.

Do you travel outside Cape Town for hybrid events?

Yes. We are based in Cape Town and produce events throughout the Western Cape, and we have worked on events in Johannesburg, Durban and Umhlanga. Hybrid production means a physical room, and that room does not have to be in Cape Town.

What happens if a speaker’s internet fails during the event?

Their slides keep running, because the deck runs from our system rather than from their laptop. If a remote speaker drops entirely, the producer cuts to the chair or to a pre-recorded fallback while they reconnect, and the run of show absorbs it without a visible gap.

For high-risk presenters we can record a backup version in advance, included from the Virtual Conference package up. A local recording also runs throughout, independent of the stream, so the session exists regardless of what happens online.
