A conference is a two-day cost that should produce twelve months of usable content. Most recordings never get watched twice. Ours are built to be.
Most conferences are filmed once and then never watched again. The slides are illegible on a phone, the entire day sits in one four-hour file nobody can navigate, and the audio was taken off a camera microphone at the back of the room. The content was good. The recording made it unusable.
We record conferences so the content survives the event. Cameras cover the speaker, the slides are captured directly from the presentation source, and the two are composited into one frame where both read clearly. Every session is then cut, titled and delivered as its own file — so a delegate looking for one talk finds one talk, not a four-hour scrub bar.
You get the material two ways: edited session videos organised as a content library for a member portal, LMS or YouTube channel, and branded composites carrying your conference identity, speaker names and sponsor credits — ready to publish exactly as delivered.

Every conference is covered end to end — capture, compositing, editing and handover. What each package includes is set out in the pricing below, so nothing arrives as a surprise line item.
One to three cameras on the speaker depending on the package — a wide of the stage, a mid on the presenter, and an audience angle for questions. Angles are cut live or in post, so a talk is never a single locked-off frame for forty minutes.
Slides are captured from the presentation source signal at full resolution — not filmed off a screen. Text stays sharp and legible when the video is watched on a phone, and every animation, build and embedded video arrives exactly as the room saw it. This is the single biggest difference between a recording that gets watched and one that gets abandoned.
Speaker and slides in one frame, sized so both read clearly rather than one crowding out the other. Side-by-side is the default because it suits most talks, but the layout can be chosen per session — see the layout table below for the full set.
Your conference identity on the frame, speaker names and session titles as lower thirds, and sponsor credits where they are contractually required. Burned in during the edit, not bolted on afterwards — so what you receive is publishable as it stands, with no in-house design pass needed. Available as an add-on with any package.
A direct XLR patch from the venue PA puts every lectern microphone, lapel, handheld, DI and playback source into the mix — the same audio the room heard, not what a camera picked up from the back wall. Levels are balanced in post so quiet speakers and loud speakers land the same.
Each talk is delivered as its own trimmed, titled, individually named file — not one long unbroken recording of the day. Sessions are topped and tailed, so a video starts when the speaker starts and ends when they finish. A delegate hunting for one talk finds one talk.
The full set arrives organised by session and track, with thumbnails and a consistent naming convention agreed before the event. Ready to upload straight into a member portal, CPD library, LMS or YouTube channel without anyone renaming a hundred files by hand.

Not every talk should be framed the same way. A data-heavy financial presentation needs the slides to dominate; a keynote needs the speaker. All five layouts are available from the Full Conference package up, chosen per session at no extra cost. Single Track is delivered as the side-by-side composite.

Which one does
your event need?
The question is not which is better — it is what the content is for. Conference recording is used when the information shared should be readily available and reviewable afterwards: information-heavy sessions that delegates need to return to later. Livestreaming matters more when the event needs to be followed live, and real-time engagement or getting the information out as it happens counts for more than what is available a week later.

Both deliver content afterwards — the difference is the shape it arrives in. If you need both on the same event, the Conference + Stream package covers them from one rig, which is cheaper and simpler than booking two crews.

Published in full so you can check it against your portal, LMS or broadcast requirements before you book.
Delivery format. H.264 MP4, the standard accepted by every major portal, LMS and video platform without re-encoding. ProRes masters available on request for clients who intend to re-edit.
Resolution and aspect ratio. 1920×1080 at 16:9 as standard. Vertical or square cuts of individual sessions can be produced for social use where a client asks for them.
Slide source. Captured from the presentation signal over HDMI or SDI at full source resolution. Slides are never filmed off a projection screen or LED wall.
Audio. Direct XLR patch from the venue PA, capturing every lectern microphone, lapel, handheld, DI and playback source. Delivered as a balanced stereo mix, levelled across sessions so quiet and loud speakers land consistently.
File naming. A convention agreed before the event and applied consistently across the set — typically day, track, session number and speaker surname. Files arrive sorted into folders by day and track.
Turnaround. Edited session videos within 5 working days of the final day. Multi-track conferences are delivered in batches so the earliest sessions arrive sooner.
Backup. A local SSD recording runs on every job for the full duration, independent of the main capture chain. Raw footage exists from the moment each session ends.
Handover. Delivered by secure download link with the full set organised by session. Physical drive handover available on request for very large conferences.
AV. We integrate with the existing AV at your venue, work alongside your own AV supplier, or supply the AV ourselves — whichever the job needs. Supplied AV is quoted separately from the recording.
Deck management. Available on request — collecting presentations ahead of the event, version control, and checks on aspect ratio, fonts and embedded media so nothing is discovered at the lectern.

How much does it cost to record a conference in Cape Town?
Conference recording in Cape Town starts from R7,500 for a single-track day with one camera and direct slide capture. A full multi-track conference — two to three cameras and per-session editing — is R14,500. Recording bundled with live streaming from the same rig is R22,000. All prices exclude VAT.

Can you record and livestream the same conference?
Yes — the Conference + Stream package covers both from the same rig at R22,000, which is cheaper and simpler than booking two crews.
Which one you actually need depends on what the content is for. Conference recording matters when the information must be readily available and reviewable afterwards — information-heavy sessions delegates return to later. Livestreaming matters when the event must be followed live and real-time engagement is the priority. Both deliver content afterwards, but a livestream is typically packaged as a full-day event, whereas conference recordings are broken up by session as the content was delivered.
Do you use our venue’s AV, or supply your own?
Whichever suits the job. Most often we integrate with the existing AV at your venue, taking a direct XLR patch from the house PA and a slide feed from the presentation switcher.
We are equally happy working alongside your own AV supplier rather than displacing them. Where a venue has nothing suitable, we can supply the AV ourselves — quoted separately from the recording.
Do you travel outside Cape Town for conferences?
Yes. We are based in Cape Town and work throughout the Western Cape, and we have worked on events in Johannesburg, Durban and Umhlanga. Our kit is built to travel.

What’s the difference between conference recording and conference transcription?
Conference recording produces video: the speaker and their slides as a watchable session file. Transcription produces text — a written record of what was said. They are different services, and we provide the video.
Conference recording is also not graphic recording, which is live illustration of a talk on a board or screen. If you need a transcript as well, the session videos we deliver can be passed to a transcription provider afterwards.
Can I just record it myself with a laptop?
For internal-only use, often yes. A laptop screen recording plus a room microphone will capture what was said, and for a small internal briefing that may be enough.
It breaks down in four predictable places: slides filmed off a screen are illegible on a phone, room-microphone audio picks up the air conditioning more than the speaker, the whole day arrives as one unnavigable file, and parallel tracks cannot be covered by a single device. If the recording is going to members, delegates or a CPD library, those four things are the difference between content people watch and content people abandon.
